A customs query usually arrives weeks later, when the order page, the seller chat and the payment receipt are scattered across different apps and devices. Keep the listing URL, the selected variant, the seller reply about quantity or substitution, the domestic tracking number, the intake photo set, the packing request and the final route decision in one folder, so a carrier or a customs officer can follow the same trail you followed.
The aim is not extra paperwork. It is to answer a value question with evidence while the goods are still in Guangzhou, where a seller can still resend an invoice, correct a unit price or confirm a bulk discount – options that disappear once the parcel is airborne.
What counts as useful proof
Useful proof shows the relationship between what you bought and what you declared. Save the product page, selected variant, order total, payment record, discount or coupon if used, shipping charge if visible, and seller messages about quantity or substitution. For 1688 orders, also save unit price and MOQ notes. For Xianyu or second-hand goods, save seller chat and final agreed price.
How to name the evidence
Use a simple file name structure: order number, product name, platform, and date. If a warehouse handles several domestic parcels, match each tracking number to the right item. This is not bureaucracy. It prevents confusion when a carrier asks for proof after the goods are already in export handling.

Do not invent a value, hide the real product category, or describe everything as gift. Those shortcuts create more risk than they remove. A credible value with clear evidence is safer than a low value that contradicts screenshots, product photos, or the parcel contents.
Warehouse photos help the payment record
Payment proof is stronger when warehouse photos show the same product, model, color, or accessory set. Ask for a photo of the product label and main item before export. If the seller shipped a replacement product, update the evidence before approving international shipping.
